1. Policy Statement
Millersoft Ltd is committed to ensuring the health, safety, and well-being of all its employees, contractors, visitors, and stakeholders. While we operate primarily in low-risk environments such as offices and remote workspaces, we take proactive steps to mitigate risks and ensure a safe working environment across all modes of operation.
This policy outlines our approach to preventing work-related injuries, supporting mental and physical health, and complying with relevant health and safety legislation.
2. Scope
This policy applies to:
- All Millersoft employees, including full-time, part-time, and remote staff.
- Contractors, interns, and freelancers.
- Visitors and third-party partners engaging with us on-site or via virtual platforms.
3. Our Commitments
Millersoft Ltd will:
- Provide and maintain a safe, clean, and ergonomically sound workplace.
- Assess and reduce risks associated with remote and office-based work.
- Promote mental well-being alongside physical safety.
- Provide clear guidance and training where relevant.
- Investigate all incidents promptly and take corrective actions.
- Ensure compliance with UK Health & Safety at Work legislation and industry best practices.
4. Responsibilities
A. Employer Responsibilities
- Conduct regular health and safety risk assessments (office and remote work).
- Maintain first aid kits, fire safety equipment, and emergency procedures.
- Implement and communicate health and safety protocols.
- Offer Display Screen Equipment (DSE) assessments for all staff.
- Ensure that mental health support resources are accessible.
B. Employee Responsibilities
All employees are expected to:
- Take reasonable care for their own health and safety and that of others.
- Cooperate with health and safety policies and procedures.
- Promptly report any hazards, incidents, or concerns.
- Maintain an ergonomic remote working setup (with support available).
- Attend any health and safety training provided by the company.
5. Remote Work & Hybrid Environment
Given our hybrid/remote-first setup, Millersoft ensures that:
- Employees receive guidance on setting up a safe and healthy home workspace.
- Equipment such as chairs, keyboards, monitors, or standing desks may be provided or reimbursed based on need.
- Employees are encouraged to take regular breaks and manage screen time.
- Virtual check-ins support ongoing health, safety, and wellness.
6. Mental Health & Wellbeing
Millersoft acknowledges the importance of mental health in a safe work environment. We will:
- Encourage open dialogue around stress, burnout, and work-life balance.
- Provide access to mental health resources or employee assistance programmes (EAPs).
- Offer flexible work options when feasible to support personal and family well-being.
7. Emergency Procedures
For office-based staff:
- Emergency exits, fire extinguishers, and first-aid points are clearly marked.
- Fire drills are conducted at least once per year.
- Designated fire marshals and first-aid officers are appointed.
For remote staff:
- Guidance on domestic safety awareness and emergency contact readiness will be available.
8. Monitoring & Continuous Improvement
We will:
- Review this policy annually or after significant incidents.
- Track and analyze incident reports to prevent recurrence.
- Solicit employee feedback to improve our health and safety approach.
